Draft Guidelines of Job Description of March 2002

Position:  AREA WORLD  SERVICE  COMMITTEE  MEETING (AWSCM)

                 Information for Host District

 

 

-         Arrange meeting place – is a deposit required?

-         Supply a list of three motels/hotels, along with rates for single, double and quad occupancy.

-         Arrange a separate room for the Officers’ Meeting.

-         Provide a list of costs for meals if that is being provided at the meeting place, also a list of eating establishments within walking distance, or driving distance, for those who prefer to eat elsewhere.

-         Arrange to have a box for the Evaluations and a bucket or pail for the Ask-It-Basket.

-         Arrange for set-up, registration, hospitality, coffee, clean up and the Sunday morning Spiritual Meeting.

-         Large tables will be needed in the Main Meeting Room for:

o       Delegate –1

o       Literature – 2

o       Public Information – 1

o       Archives –1

o       Treasurer –1

o       Bulletin/AIS –1

o       Group Records – 1

o       Registration –1 for Voting Members and 1 for Non-Voting Members for sign-in, pick up packages, etc…

 

-         Provide volunteer members to be on the registration table Friday and Saturday morning. The Area Secretary ahs supplies such as pens, nametags, pins, packages, sign-in books, etc…

 

-         Provide extension cords if needed, coffee, tea, hot water, cups, cream, sugar, stir-sticks or spoons, napkins, ice water for Main Meeting Room and Officers’ Meeting Room

-         Microphone System

o       - one for head table,

o       - one or two floor mikes

o       - one cordless mike

 

-         Flip Charts – up to 4 for AWSCM, as necessary if requested by Officers.

 

-         Supplies – For announcements (could be chalk board or cork or while board or large piece of paper on the wall,) check with Secretary about nametags, pins, etc. To see if needed.

 

-         Goodies for weekend – donated by Groups in the Host District if possible

-         Contact Treasurer if funds are needed for a float if tickets being sold for lunch or other meals.

-         Keep all receipts for expenses so that BC/Yukon can reimburse you

-         Give list of accommodation choices to Chair, ASAP, once you have confirmed with the hotels/motels, along with name and phone number of contact person, map of where things are located, costs for transportation – flights, bus, train, ferry, car, etc…

-         Provide a map with directions to the meeting place at all hotels/motels booked and a contact name and number for Host District Coordinator

-         Provide pickup from the airport and bus if necessary.

-         Write a report for the Chairperson after AWSCM is over, with information on how you did things and any recommendations you may have for the next Host Committee.
