JOB DESCRIPTION FOR GROUP RECORDS COORDINATOR

 

Purpose: Compiles complete mailing list of all GR’s, DR’s, Officers and Coordinators and keeps it up-to-date.

 

This position is appointed by the Officers of Assembly.  It is for a three-year term.

 

The following outlines some important requirements of the position:

 

Computer Program

v     MS Word/Excel - there are programs on the internet that can be downloaded free of charge if the incumbent doesn’t have access to Word/Excel

v     FTP – program needed to make changes to groups on website.

 

Skills Required

v     Typing

v     Excel  - easy to learn

v     Patience

v     Good communication skills

 

People Contact

v     Telephone

v     Email

v     Some mail correspondence

v     Using above – contact with GRs, DRs, Officers, WSO personnel

 

Time requirement

v     twice yearly reconciliation with WS0 records

This takes some time to complete.  Estimated time – 10 hours

 

v     prepare reports for AWSCM and Assembly

Many of the reports are sent electronically so there is no printing/collating etc.  The Group Records report is done using a mail merge that is already set up.  It is printed manually.  Estimated time – 6-8 hours

 

v     reconcile information from AWSCM & Assembly with existing data (after May & Sept. meetings)

It is important to get this done as soon as possible after the meetings.  Estimated time – 4-5 hours

 

v     regular updates to spreadsheet

This varies - Estimated time – 2-4 hours per week (or more)

 

v     out-of-town meetings

Officers/Coordinators meeting in January or February, usually in the Lower Mainland – a one day meeting

            AWSCM is usually the end of May – Friday to Sunday

            Assembly is usually the end of September – Friday to Sunday
